Legislative & Council requirements

To be considered you must meet the following requirements:

Supply a copy of your ‘Certificate of Currency for public liability and product liability’ for an amount of $20million which covers the date of the event.
Must have licenses and registrations required for the sale of their goods and display license as required and produce them for inspection by any authority.
Are required to ensure that their business practices and goods and services comply with all relevant product, safety, business and trade legislation.
Only goods described and approved on the application form may be sold from the stall. Any misstatement or deliberate concealment of information regarding products for sale can lead to the items being withdrawn from sale and the stallholder stopped from trading.
Queanbeyan-Palerang Regional Council reserves the right to instruct a stallholder to refrain from selling a product which may be deemed to cause a hazard, be offensive or adversely affect the aims or good reputation of this event, including religious or political material.
By signing the application form, stallholders agree to indemnify Queanbeyan-Palerang Regional Council in relation to any claims for damages arising from the provision of a site or the sale of any product at that site whether by the stallholder or any person representing them or their product.
Queanbeyan-Palerang Regional Council accepts no liability for any damages or costs whatsoever arising

Site requirements

Each site is a set area, any additional space requirements will need to be negotiated with QPRC event staff and is not guaranteed
Sites will be allocated to ensure variety and to avoid conflict with similar products on nearby stalls in order not to present an over-supply or duplication of the same products or food items. However, stallholders are not guaranteed that they will be the sole stall supplying any product.
Stallholders may drop off and pick up their stock ONLY outside the allocated event times.
All vehicles must vacate the site by the designated times and are not permitted in the event area. Strictly no vehicle movement on site during event times.
You are only permitted to bring your vehicle on site or move a vehicle with approval from QPRC event staff.

All participants are expected to represent themselves in a professional, safe and courteous manner and to not engage in behaviour that brings the reputation of the event into disrepute.

Sustainable Events

To ensure our events are successful into the future, we all must follow the below guidelines to create a sustainable event:

Ensuring the venue is left in a clean and tidy condition.
Providing waste and recycling separation facilities, including organics separation if available.
Prohibiting the sale and/or distribution of single use plastic (including bioplastic) or polystyrene products that are unable to be appropriately recycled or composted as directed by Council (a complete list of prohibited products can be found in the Sustainable Events Management Guide).

Ensuring that measures to minimise energy and water consumption are actively developed and implemented.

Feedback

More serious complaints and grievances must be submitted in writing stating the nature of the complaint and these will be considered and responded to by QPRC Event staff in the following 14 days.

Cancellation

In the event of extreme weather conditions this event will be cancelled QPRC will put notification on QPRC website, Facebook and send a text message to the mobile number on this application.
Should my circumstances change, and I am unable to attend the event, I will contact the event organisers in writing.
If I cancel less than 7 days prior to event, I understand no refund will be reimbursed.

Failure to comply with QPRC

Faliure to comply with Council standards and other regulations may result in you being asked not to trade and potentially leave the event.
Not following QPRC Event staff instruction may result in not being approved to attend future events.

Vendor takings

Any monetary takings from your stall will needs to be managed yourself. QPRC will not take any responsibility for loss of takings or financial equipment.
