Site requirements

  • Each site is a set area, any additional space requirements will need to be negotiated with QPRC event staff and is not guaranteed

  • Sites will be allocated to ensure variety and to avoid conflict with similar products on nearby stalls in order not to present an over-supply or duplication of the same products or food items. However, stallholders are not guaranteed that they will be the sole stall supplying any product.

  • Stallholders may drop off and pick up their stock ONLY outside the allocated event times.

  •  All vehicles must vacate the site by the designated times and are not permitted in the event area. Strictly no vehicle movement on site during event times.

  • You are only permitted to bring your vehicle on site or move a vehicle with approval from QPRC event staff.

All participants are expected to represent themselves in a professional, safe and courteous manner and to not engage in behaviour that brings the reputation of the event into disrepute.

Terms and Conditions for Food Vendors

The following terms and conditions outline the guidelines for participation in our events. Please read each section carefully, as they are designed to ensure the success of the event and the safety and satisfaction of all attendees. At the end of each section, you'll find a checkbox to acknowledge and agree to the terms outlined.

By agreeing to these terms and conditions, you confirm your commitment to comply with all QPRC guidelines and requirements. We thank you for your cooperation and look forward to your contribution in creating a great event experience.

Products

  • Products sold must align with those described and approved in your application form. Selling unauthorised items or goods that are hazardous, offensive, inappropriate, or damaging to the event or QPRC’s reputation is strictly prohibited.

  • QPRC reserves the right to instruct stallholders to withdraw non-compliant items from sale.

  • You are required to ensure that your business practices and goods and services comply with all relevant product, safety, business and trade legislation.

  • You must have licenses and registrations required for the sale of your goods. You must display your license as required and produce it for inspection by any authority.

  • QPRC assumes no responsibility for damages or losses resulting from your participation.

Behaviour

  • Failure to meet QPRC behaviour standards may result in a request to cease trading. This may also affect your approval for future participation in QPRC events.

  • Stallholders are expected to act professionally, respectfully, and safely at all times.

  • Any conduct that harms QPRC reputation or compromises safety will not be tolerated.

  • By signing the application form, you agree to indemnify Queanbeyan-Palerang Regional Council against liability for any claims or damages related to your stall or trading activities, including those arising from employees or representatives acting on your behalf.

Complaints and Feedback

  • Issues at the event must be reported immediately to QPRC events staff.

  • Complaints can be submitted via phone, email, written correspondence, or an online form. Details of QPRC’s complaint process can be accessed here: QPRC Complaints Handling Process.

  • Stallholders are required to provide post-event feedback through QPRC’s survey form.

Cancellation

  • Events may be cancelled due to extreme weather or unforeseen circumstances. Notifications will be provided via several means including but not limited to the following: QPRC websites, social media channels, emails and telecommunications methods

  • If you are unable to attend, you must notify the QPRC events team in writing as soon as possible.

  • Any stallholder cancellations made within 7 days of the event will not qualify for a refund.

Required Documentation

Stallholders are required to provide the following documents prior to the event:

  • A valid Certificate of Currency for public and product liability insurance valued at $20 million, covering the event date.

  • Relevant licenses and registrations to sell your products, which must be available for inspection.

  • A completed risk assessment.

  • Yout QPRC Food Registration Number

  • Proof of your Not-for-Profit status (if applicable).

Equipment

QPRC will not provide any equipment unless prior arrangements have been made. All stallholders are responsible for bringing their own equipment to ensure their stall meets safety standards and operates effectively throughout the event.

Food Safety Equipment (Mandatory)
Stallholders are required to bring the following equipment to maintain compliance with food safety regulations:

  • Water basin

  • Thermometer

  • Sanitiser

To ensure your stall is properly set up and functional, you are responsible for the following items:

  • Marquees

  • Walls

  • Flooring

  • Weights

  • Tables

  • Chairs

  • Extension cords (tested and tagged)

  • Lighting (for evening events, if applicable)

Food Sales Requirements

  • All food businesses must be registered and comply with the NSW Food Authority's guidelines and regulations. Additional details can be found here: NSW Food Authority Website.

  • All food business operators are required to have a certified Food Safety Supervisor on site.

  • Charities, groups, and volunteers selling or donating food for charitable causes must also comply with NSW Food Authority Guidelines.

Sustainability Standards

QPRC is committed to hosting environmentally sustainable events.

  • Stallholders must leave their area clean and free of waste at the conclusion of the event. Waste management is individual stallholder responsibility for their stall's waste.

  • The use of single-use plastics (e.g., plastic bags, straws) or polystyrene packaging is prohibited. All packaging must be compostable or recyclable.

  • Stallholders are encouraged to minimise water and energy consumption wherever possible.

Financial Management

  • Stallholders are responsible for managing all financial transactions and related equipment at their stall, including Eftpos machines.

  • QPRC will not accept responsibility for any financial loss incurred by your business before, during or after the event.

Stall Size, Location, and Set-Up

  • Each stall size is 3x3 meters unless additional space is requested and paid for in advance. Contact the QPRC events staff prior to the event if extra space is required.

  • Stall locations are allocated to ensure a variety of products and to avoid oversupply. However, exclusivity of product offerings is not guaranteed.

  • You may only walk in additional stock in on trolleys during the event operation hours.

  • Vehicles are prohibited from moving in the event zone during event operation hours and must remain parked off-site.
