Required documents

Insurance - Current Public Liability policy with a minimum cover of $20 million indemnity *

Event management plan - This should include a site plan, emergency and risk management procedures *

Traffic Management (Contact the Events team to discuss - events@qprc.nsw.gov.au). Road closures - pedestrian access - managed parking. A report will need to be prepared for the Local Traffic Committee.

Signage/Advertising Plan - outline advertising plan including roadside signs. N.B. Roadside signs are not permitted on state highways. Banner bookings are available by completing our online form here.

Installations (Activity Application with a work cover current registration). A D/A may be required for erections of structures of a large scale. These include tents, marquees, amusements, large stalls, seating or staging. You can find the Activity application form here.

Temporary Event Food Application - you will need to advise four weeks in advance of the event. Food vendors must be listed with QPRC. Temporary food applications can be downloaded here.

Liquor licence - if needed. You can apply for a liquor licence here.

Acknowledgement

as the event organiser, apply for approval to host an event in the Queanbeyan-Palerang Regional Council area, acknowledge that the information and completed actions in my application are true and correct. I accept responsibility of the facility/park/ground/reserve during the specified hire period and will ensure compliance with Queanbeyan-Palerang Regional Council condition of hire and local laws.

I will indemnify Queanbeyan-Palerang Regional Council against any action, suit or proceeding caused by my failure to observe all statutory and other requirements or as a result of my negligence or wilful actions. I will ensure that appropriate liability and other insurances are in place for the activities to be conducted.

The hirer (organisation or private) will be held accountable for the Terms & Conditions. Should the signature resign from the position, a new signed set of Terms & Conditions will need to be declared.
